Privacy Policy for Members & Key Users

 Introduction

The Training Gateway is a member network for Education and Training Providers.   We source opportunities for our members from companies in the UK and worldwide, and promote our members’ expertise at networking events and exhibitions.  We also support our members by organising tailored trade missions, events and courses.

What information do we collect about you?

We collect information about you when you register for an account on our online portal. We collect the following information for the purpose of managing your account on the website:

• Forename
• Surname
• Email address
• Organisation name
• Job title
• Telephone
• Address
• Region
• Mailing preferences, and information on what emails you have opened and clicked on
• Opportunities you have expressed interest in
• Courses, events and missions that you have attended or expressed an interest in

We also collect the following information about your organisation:

•  Organisation Name
• Organisation Telephone
• Organisation Address
• Email
• Website
• Region
• Payment preferences (i.e. invoice or online payment)

In addition to this, you may submit additional information in the process of expressing interest in an opportunity.

How will we use the information about you?

To provide our service

We use the information collected about you to:

• provide you with a unique account on our website portal which allows you to log into the site and see details about the opportunities we post.
• facilitate connecting you with a client who is looking for training
• follow up with you on opportunities you have expressed an interest in or where we have put you in contact directly with a client
• occasionally contact you directly about specific opportunities which relate to courses that your organisation delivers.
• contact you directly about events, missions or courses that you or your organisation/department has previously expressed an interest in.
• contact you about resubscription. We will usually only contact your nominated “key user” about this, however if we find that the key user is no longer the correct contact, we may contact other members from their organisation to determine who the new key user should be.
• inform our future activities i.e. to determine which opportunities generate the most interest and should be prioritised, and to determine which courses/events we should run based on member interest.
• generate reports for your organisation about the activity of its own members, if requested.
• allow other members of your organisation to see who else is registered on the portal, who their key user is, and what opportunities their colleagues have expressed interest in to enable cross-departmental work if needed. (This information is only shared between members of the same organisation and the Training Gateway staff).

 

Opting into email updates on our core services

You can also opt into receiving updates about these core services directly to your inbox.  Our member emails include information about:

• New opportunities - we send out a weekly update about any new opportunities posted that week
• Highlighted opportunities - there are occasional emails that we want to highlight for various reasons, e.g. they are high value, unique to the Training Gateway, or are particularly suited to our membership for other reasons.
• Events, trade missions and courses that are relevant to UK education and training providers. These may be run by us or by a third party, but they will always be activities that are relevant to our members.
• Occasional adverts from a sponsor, included as a small bar within another email

 If you have opted in to our emails, you may opt out at any time. You can either contact us at info@thetraininggateway.com, or log into our website and change the marketing preferences under “My Account”, or click “unsubscribe” from any email.

 Linking you with Partners

We will not share your contact details or name with any third parties without your prior consent.  If a client has submitted a training opportunity on our portal and you have registered interest in that opportunity, we may let that client know that your organisation has registered interest.  However, we will only send further details once we have consent from you to share them.

Any written expressions of interest or details sent in order to bid or express interest in an opportunity remain confidential and will be shared with the client they are intended for only.

Your rights

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information held by The Training Gateway, please e-mail us at info@thetraininggateway.com or write to us at:

 We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

 The right to be forgotten

You have the right to be forgotten, i.e. the right to ask us to delete all personal data we hold about you.  If you wish to do this, please send your request to info@thetraininggateway.com stating your name and any email addresses you have registered with on our site to allow us to find and delete your information.

 Lodge a complaint

You have the right to lodge a complaint with a supervisory authority.  The Information Commissioner’s Office has details of how to do this here - https://ico.org.uk/concerns/

 Where your data is held

We use the following three systems to store and process your data:

• Our website portal. This holds the majority of the personal data that we collect and is provided by See Green (https://www.seegreen.uk/).  This website was developed with GDPR compliance in mind, and we have an up-to-date and UK GDPR compliant contract in place to protect your data. 
• Mailchimp.  We use this to send out member emails which you can opt into when you register or via the “my account” page.   We store email address, first and last name, region, whether you are from a university, college or private training provider, and your level of subscription, as well as details on what emails you have opened or clicked on.
• The University of York’s secure servers. The Training Gateway is an independent project based at the University of York, and we use the University’s systems in our day-to-day work including emails, invoicing and payments, and storing documents and reports in a protected area of the server.  Invoicing and payment details are by necessity shared with the University in order to facilitate payment, however no personal information of any kind is shared for marketing purposes. 

 Retention of your data

Whilst you continue to have a login to the Training Gateway website we will retain your data for the purpose of providing you with that login.  Please note that your login continues to be available whether your organisation has a paid membership or not to enable you to continue to get the basic version of our service.

If you wish to delete your account then your key user can do so for you via their “my organisation” page (Login and go to My account) or you can ask us to do this for you, please contact us at info@thetraininggateway.com
